Case Study 1: From Spreadsheet Chaos to a Full Operating System: 700%+ Growth for an Event-Based Marketing Agency

Client:

A digital marketing agency running live events and coaching programs for a nationwide member base.

The Result:

Over 700% growth in clients and revenue within the first year. Event volume grew from 6-8 events/month to upwards of 75/month, now operating at ~$75K/month in recurring revenue.

 

The Problem:

When the engagement began, the organization was running entirely on Google Sheets and Eventbrite, stitched together with manual work. There was no single source of truth — client data, revenue, event records, and support requests lived in disconnected spreadsheets that had to be manually reconciled. Nothing rolled up. There were no dashboards and no KPIs, so leadership had no real-time view of how the business, individual departments, or individual team members were performing.

What We Built:

We consolidated the organization onto Airtable as a single source of truth, with a central CRM base tying every client record to a full set of connected bases: revenue, invoicing, event records, feedback, ads, customer support, content, sales, marketing collateral, KPIs, call logs, projects, and tasks.

 

On top of that data layer, we built the operational infrastructure to run the business day to day: automations connecting Airtable with HighLevel, Slack, and Zapier so activity in one system automatically updated records and notified the right people, and Airtable Interfaces giving leadership and team members live, role-specific views into performance — company-wide, by department, and by individual.

The visibility this system created didn't just help the client run the existing business better — it changed what the business was.

 

Seeing the data clearly enough to trust it gave leadership the confidence to move off a per-event fee model entirely and launch a high-ticket subscription model: members now reserve their zip code exclusively and pay $1,695/month (plus ad spend) for ongoing access to content and coaching, whether or not an event happens that month.

The Outcome:

Case Study 2: One CRM Record, the Whole Business: Building a Unified Operations View in Airtable Interfaces

Client:

 

A digital marketing agency running live events and coaching programs for a nationwide member base.

 

The Problem:

 

Before this system existed, there was very little insight into support-level issues — things like marketing flags or special billing situations were easy to miss because there was no central place they lived. There was no CRM where an organization's full picture rolled up under a single record. Information about a member — their contacts, events, billing, support history, sales relationship — was scattered, which made it hard to catch problems early or see the full relationship with any single account at a glance.

 

What We Built:

 

We built a unified CRM record in Airtable where every organization's full history rolls up in one place: contacts, event records and event-level KPIs, ad performance, tasks, support tickets, a business health status tracker, onboarding progress, advocacy records, appointment logs, call logs, billing, sales relationships, and referrals.

 

On top of individual account records, I built rollup interface views giving leadership a real-time operational picture across the entire member base, including:

  • Onboarding progress across all new accounts

  • Open support tickets and issue volume

  • Accounts flagged with a low business-health rating that need additional coaching or support

  • Total active members and offboarding volume

  • Zip codes that have opened up and need to be resold by sales

  • Event volume, registrations, and average show rate over any given time frame

  • Registration-to-paying-patient conversion rates

  • Members who aren't scheduling (an early churn signal)

  • Open tasks, and which of those are escalations requiring management attention

  • Outstanding/unpaid invoices

  • Per-member cost, cost of acquisition, LTV, MRR, opt-in rates, and length of service

 

The Outcome

 

What used to require digging across scattered records now lives in a single connected system. Leadership can see, at a glance, exactly where the business is healthy and exactly where it's at risk — which accounts need support before they churn, which zip codes need to be resold, which tasks are escalating, and how acquisition cost stacks up against lifetime value — all from one CRM record and a set of rollup views, without pulling a single manual report.
